1. Acceptance of Terms

By accessing or using Vacation Flow ("the Service"), you agree to be bound by these Terms of Service. Organizations using the Service must have authority to bind that entity.

2. Description of Service

Vacation Flow is a cloud-based vacation and leave management platform that allows companies to manage employee time off, track leave balances, organize teams, and streamline approval workflows.

3. Account Registration

Users must:

  • Provide accurate and complete information during registration
  • Maintain security of account credentials
  • Notify us immediately of unauthorized access
  • Not maintain multiple company accounts without permission

4. Acceptable Use

Prohibited activities include:

  • Unlawful purposes or violations of applicable laws
  • Unauthorized access attempts to the Service or systems
  • Uploading malicious content or interfering with operations
  • Sharing account credentials with unauthorized individuals
  • Storing sensitive personal data beyond leave management needs

5. Company Administrator Responsibilities

Administrators manage organizational accounts, including user invitations, removals, policy configuration, and ensuring team compliance with these Terms.

6. Data Ownership

You retain ownership of all data you submit to the Service. Vacation Flow does not claim ownership of company data, employee records, or leave information.

7. Service Availability

We strive to maintain high availability of the Service but do not guarantee uninterrupted access. Scheduled maintenance may occur with advance notice, and downtime liability is limited.

8. Suspension & Termination

  • Accounts violating these Terms may be suspended or terminated
  • Users may delete accounts by contacting us
  • Data is retained 30 days post-termination for export before permanent deletion

9. Limitation of Liability

To the maximum extent permitted by law, Vacation Flow shall not be liable for any indirect, incidental, special, consequential, or punitive damages. Liability is capped at amounts paid in the preceding 12 months.

10. Changes to Terms

Updates may occur with 30-day email notice to registered users. Continued use of the Service constitutes acceptance of the updated terms.
