LeaveDates and VacationFlow overlap a lot: both are focused leave trackers with a visual team calendar, custom policies, and approval flows. The decision usually comes down to price structure, integrations, and a few features only one of us has. Here is the honest breakdown.
Where LeaveDates is strong
LeaveDates is cheap and clean. Paid plans start at £0.75 per user per month, the wall chart is pleasant to use, it supports accruals and carry-over rules well, and it has mobile apps plus Slack and Teams integrations. Third-party listings also describe a free plan for very small teams (around 5 people), though their own pricing page centres on the 30-day trial — check with them for the current terms. It won a Capterra Best Value badge, and for a UK small business that wants no-frills tracking, it earns it.
Where VacationFlow is different
Our free plan covers up to 20 members with the full product — at that size LeaveDates would be a paid subscription. Past the price, we add things LeaveDates does not have: work modes that show remote, deep-work, and medical days on the calendar, shift management with templates and rotations, blockout periods, and an interface in English, German, and Macedonian. LeaveDates answers back with mobile apps and Slack/Teams — real advantages we do not currently match.
Pricing, side by side
LeaveDates’ published starting price as of August 2026, from their own pricing page. Their per-plan prices load dynamically, so we quote only the number they state in writing.
| LeaveDates | VacationFlow | |
|---|---|---|
| Free tier | Reported for very small teams; confirm current terms with them | Full product, up to 20 members |
| Paid plans | From £0.75/user/month (Starter); higher tiers cost more per user | $0 up to 20 members |
| Larger teams | Per-user pricing continues | Corporate for 20+: custom pricing |
| Trial | 30 days, no card | Corporate: 3 months free, no card |
A 20-person team on LeaveDates’ cheapest tier pays around £180 a year — modest, but not zero. The same team on VacationFlow pays nothing.
- You want Slack or Teams notifications for requests and approvals. We do not integrate with either.
- Your team is Android-first and needs a native Android app today — ours is still on its way (iOS is live).
- You are a UK team happy with a pure wall-chart tracker — LeaveDates does that job well for very little money.
